Your data
Common questions about your data, answered.
Can you read all my email?
No. We only look at mail with clients in your client book, judged by who it's from, to and copied. Other mail is never opened; we keep only a count of skipped messages. A client email's subject line helps spot out-of-office and automated replies, and with email facts on it's read with the message, but it's never stored. For your own emails to clients, we keep only dates and counts. The one exception: "Find clients from email" checks who your last 90 days of mail is from and to when you press it, and nothing is kept unless you add a client.
Can you send email as me, or change anything?
No. We can only read, never change. We ask Microsoft for read permission only, and we can't send, change, move or delete anything in your mailbox.
Do you keep my emails?
No. We keep short facts in our own words, like "the client asked for a quote", with the date, the client and the deal. Turning email facts off stops all reading. Facts already found stay until you delete that client or disconnect the mailbox.
We never keep the email itself: not its text and not its subject.
How do you know who my clients are?
You tell us, or you press "Find clients from email". Then we look only at who your mail from the last 90 days is from and to: names, email addresses and dates. Never a subject or a message. We suggest companies, and nothing is saved unless you choose it.
Who can see my data?
In the app, only people in your organization. Each company's data is kept apart by rules built into the system that stores it.
We can reach the database to run the service, but we don't look at your data unless you ask us for help.
Can my salespeople see each other's numbers?
No. A salesperson sees only their own clients and deals. A manager sees their own, and their team's. Owners see everything.
Where is my data stored?
Your data is stored in Canada (Montréal).
Some of our service providers, like our AI provider, process data outside Canada: see our Privacy notice.
Does AI learn from my data?
No. We use Claude, made by Anthropic, under commercial terms that don't allow your data to be used for training.
Anthropic processes this text in the United States or other countries. Our AI provider deletes it within 30 days (longer only if it is flagged for a safety review or the law requires it) and never uses it to train its models.
What do you send to the AI?
Only what's needed for that one task: the deal's details and, if email reading is on, the client's message, its subject line and the client's company name. Email addresses and phone numbers are taken out first.
The AI never sends anything. You get a suggestion, and you decide what to do with it.
Is it encrypted?
Yes. Your data is encrypted (scrambled so no one else can read it) while it travels and while it is stored. Two-step sign-in is available for every account.
What happens if I leave?
You take your data with you. An owner can download everything, any time, as one file of spreadsheets: clients, contacts, agreements, deals, wins, the facts we kept from email, settings and team.
Can I delete everything?
Yes. The person who set up your organization can delete it from Settings. For 30 days everything keeps working and any owner can cancel. After that, everything in the organization is deleted: clients, deals, email facts, settings and access.
You can also delete smaller things yourself: a deal, a teammate's access, or everything read from one mailbox, by disconnecting it.
Do you keep a log of what happens?
We keep a record of important actions in your organization.
What if something goes wrong?
We have a written plan for security incidents. If one affects your data, we'll tell you within 72 hours of confirming it.
